Introduction

A commercial cleaning company was quoting jobs manually. Every quote took ~25 minutes — sales rep took the inquiry, looked up rates, calculated materials and labor, sent a PDF. Result: slow quote turnaround, lost deals to faster competitors, and the rep's time tied up in arithmetic rather than selling.

The Challenge

Quote logic seems straightforward — multiply variables. The complication: rates differ by service type, location markup, frequency discount, equipment surcharge, and minimum-job floor. Plus every quote needs to land in the CRM as a tracked opportunity, not just an email PDF that gets forgotten.

The Solution

Built a multi-step form in GHL with conditional logic, a workflow that runs the calculation engine, an instant email + SMS dispatch with the quote, and pipeline auto-creation tagged with quote amount. Quote-to-deal-creation time compressed from 25 minutes to under 60 seconds.

Technical Deep Dive

Multi-step form with conditional logic. Form branches by service type (office cleaning vs deep clean vs janitorial retainer). Different fields show for different types. Required fields gate progression.

Calculation workflow. On form submit, workflow extracts inputs, looks up rates from a Google Sheet, applies multipliers (location markup, frequency discount, equipment surcharge), enforces minimum-job floor, computes final amount.

Instant delivery. Email with branded PDF quote (generated via PDF template merge) sent within 30 seconds. SMS with quote summary and accept link sent in parallel.

Pipeline auto-creation. Opportunity created in GHL Quote pipeline at Quote Sent stage with quote amount in the value field. Sales rep gets notified for outbound follow-up scheduling.

Quote-acceptance flow. Customer clicks accept link → triggers acceptance webhook → moves opportunity to Quote Accepted stage → schedules first-service appointment based on availability.
